Small business bookkeeping cost – what you should actually pay (2026).

"How much should bookkeeping cost for my small business?" is a more complicated question than it appears. The answer depends on transaction volume, platform, scope, industry complexity, and delivery model. This guide covers realistic price ranges across DIY, part-time local, full-time employee, US outsourced, and offshore options.

Delivery models

The five common bookkeeping delivery models

1. DIY (business owner does it)

  • Direct cost: software subscription only ($30–$90/month for QBO or Xero)
  • Hidden cost: owner time – typically 8–20 hours/month at minimum
  • Risk: owner's billable time is usually worth more than $100/hr; DIY bookkeeping is a poor use of it
  • Works for: solopreneurs with simple operations, under 50 transactions/month

2. Part-time local bookkeeper

  • Cost: $500–$2,500/month depending on hours and complexity
  • Arrangement: bookkeeper serves 5–15 clients part-time, visits quarterly or monthly
  • Works for: small businesses (under $1M revenue) with moderate transaction volume
  • Limitations: capacity constraints as business grows; quality varies significantly

3. Full-time in-house employee

  • Cost: $60k–$85k base salary + 25–35% loaded cost = $75k–$115k total annual
  • Monthly equivalent: $6,250–$9,600
  • Works for: businesses $5M+ revenue with enough bookkeeping work to justify full-time
  • Consideration: need actual full-time work; below that, employee is underutilized

4. US outsourced / virtual bookkeeping firm

  • Cost: $500–$3,500/month for basic bookkeeping; $2,500–$8,500/month for fuller scope with controller support
  • Firms: Bench, Pilot, Botkeeper, 1-800Accountant, local CPA firm CAS practices
  • Works for: small-to-mid businesses preferring US-based team, budget allowing premium pricing

5. Offshore-enabled bookkeeping

  • Cost: $800–$3,200/month for equivalent scope
  • Typical structure: dedicated offshore bookkeeper with US oversight
  • Works for: small-to-mid businesses ($500k–$50M+ revenue) prioritizing cost reduction while maintaining quality
  • Consideration: 40–60% cost reduction vs US outsourced; requires willingness to work across time zones

Realistic pricing by business complexity

Cost scales with transaction volume and complexity rather than revenue directly. A $2M professional services business might have simpler bookkeeping than a $500k ecommerce business with multi-state sales tax.

What drives complexity premium (and higher cost)

  • Multi-state sales tax obligations (add $400–$2,000/month)
  • Multi-entity consolidation
  • Industry-specific accounting (construction WIP, SaaS ASC 606, law firm trust)
  • Inventory management (especially multi-location or multi-platform ecommerce)
  • High transaction volume relative to revenue (cash businesses, many small transactions)
  • Non-standard platforms (NetSuite, Sage Intacct add premium vs QBO)
  • Payroll complexity (multi-state, many employees)

What reduces cost

  • Clean existing books (no cleanup needed at engagement start)
  • Single-state, single-entity operations
  • Standard platform (QBO or Xero on standard setup)
  • Simple revenue model (not many revenue streams)
  • Low transaction count relative to revenue
  • Clear approval workflows already established
What's in scope

What bookkeeping typically includes (and doesn't)

A key source of bookkeeping pricing confusion: scope varies dramatically between providers.

Typical basic bookkeeping scope

  • Bank and credit card reconciliation monthly
  • Transaction coding and categorization
  • AR and AP posting (but not necessarily processing)
  • Monthly financial statements (P&L, balance sheet)
  • 1099 tracking year-round
  • Year-end package to tax CPA

What's often NOT included in basic scope

  • Bill pay processing (vendor invoice entry, approval routing, payment execution)
  • Payroll processing (different from payroll journal entry)
  • Sales tax filing (may be just tracking, not filing)
  • Invoicing and collections
  • Month-end accruals and adjusting entries (for clean accrual-basis books)
  • Budget vs actual variance analysis
  • KPI dashboards or management reporting beyond standard P&L
  • Tax return preparation (usually separate engagement with tax CPA)
  • Inventory counting and valuation
  • Multi-entity consolidation

Full-scope (controller-level) scope

When you see "bookkeeping" pricing of $3,500–$8,000+/month, you're probably looking at broader controller-level scope including most items from the "not included" list above.

Red flag: extremely low pricing ($200–$400/month) typically means one of: (1) very minimal scope, (2) offshore junior bookkeeper with no US oversight, (3) software doing most of the work with minimal human review. Any of these can be fine for some businesses, but understand what you're getting.
