Outsourced accounts receivable for US CPA and accounting firms

An offshore accountant who works only for your firm handles AR in your clients' own QuickBooks or Xero files. Nothing we prepare goes out under our name.

Updated

One dedicated accountant can keep a client's books, AP and AR together, and stays on that client's file month after month.

AR work happens in the client's ledger, next to the books. Which AR tasks we take on for a client is [AR scope to be confirmed]. Our US-based manager reviews the work every week, then your reviewers do the final review. We don't email or call your clients.

Before you hand off AR

01

Who sends invoices to your client's customers

Invoices can go out from QuickBooks, Xero or a separate billing tool. Settle who sends them, and from which system, before the pilot starts.

02

Who follows up when a customer pays late

Decide who reminds your client's customers when an invoice is overdue, and how soon after the due date. Our accountant's part in this is [__].

03

Who approves a credit memo or a write-off

Credit memos and write-offs change a customer's balance. Decide who at your firm or the client approves them, and name that person on the call where you agree the pilot's scope.

Tying out the AR aging at month-end

At month-end the AR aging report should agree to the receivables balance on the balance sheet. Run both for the same date and on the accrual basis, because a cash-basis balance sheet leaves out unpaid invoices. If our accountant runs a client's close from your checklist and the checklist includes this step, the accountant does it in the same pass and puts any difference on a list for your manager.

If that client's vendor bills also need work, see outsourced accounts payable, where the AP aging gets the same month-end check.

How outsourced AR is priced

When AR is part of a dedicated accountant's work, alongside the client's books or AP, you pay the accountant's monthly price of $1,800 to $6,500. The figure within that range depends on the work and how complex it is. On-demand AR pricing is [__]. Like every engagement, AR starts with a 2-week pilot on your own files. Other work we take on for firms is listed under outsourced accounting services.

Questions about outsourced AR

Do you handle accounts receivable for our clients?

Yes. AR is part of the work our dedicated accountants take on, alongside AP, in the client's QuickBooks or Xero file. The tasks it covers are [AR scope to be confirmed].

Does your offshore AR team contact our clients' customers?

[__]. We don't email or call your clients. Anything about a receivable that needs the client's input goes to your team as an open question, and your firm decides whether and how to raise it.

How is outsourced AR priced?

Through the dedicated accountant model, at $1,800 to $6,500 a month for an accountant who can take a client's AR along with the books or AP. Whether AR is also offered on demand, and at what price, is [__].

Is the AR work done in our clients' QuickBooks or Xero?

Yes, in the client's own file, where the invoices and customer payments are already recorded. Our accountant has a separate named login, protected by MFA, and your firm or the client decides what it can access. If the client bills from a separate tool, tell us which one before the pilot and we'll say whether we can work in it.

Who reviews the AR work?

Our US-based manager checks the accountant's work each week, and your own reviewers then do the final review.

Can AR and AP sit with the same accountant?

Yes. One dedicated accountant can take a client's AP and AR along with the books, and the same person keeps that client's file from one month to the next.

Can we test outsourced AR before committing?

Yes. Run the 2-week pilot on the receivables of one or two clients. Its scope is agreed on a call with you beforehand. Measure it by whether the reviewed work arrived on time and by the number of review notes it took.
