QuickBooks Desktop is not dead – why we still staff it

Intuit has been telegraphing the retirement of QuickBooks Desktop for years. QBDT Pro and Premier are sunset on subscription-only pricing; QBDT Enterprise continues for now. Despite the direction of travel, tens of thousands of CPA firms and businesses still run QBDT, and many will continue to for another 3–5 years. We staff QBDT because the work is still there.

Why QBDT persists

Three main reasons firms and businesses stay on QuickBooks Desktop:

  • Legacy clients. A CPA firm with 100 bookkeeping clients can't force all of them to migrate to QBO on the firm's preferred timeline. Some will stay on QBDT until the client is sold, wound down, or specifically chooses to migrate.
  • Inventory and industry-specific features. QBDT Enterprise's inventory, advanced reporting, and industry-specific editions (contractor, manufacturing/wholesale, nonprofit, retail) have features QBO doesn't match. Businesses with heavy inventory needs often stay on QBDT deliberately.
  • Internal controls and custom workflows. Businesses that have built custom integrations, third-party add-ons, or specific workflow patterns around QBDT are expensive to migrate.

The hosting layer

QBDT is desktop software, which means offshore access requires a remote desktop connection to a Windows environment where QBDT is installed. The three common hosting patterns:

  1. Hosted QBDT providers. Right Networks, Swizznet, Cetrom, Ace Cloud Hosting, Summit Hosting. They run QBDT in their data centers; your staff (US and offshore) log in through remote desktop. This is the cleanest setup for offshore engagements.
  2. Self-hosted on a terminal server. Your firm runs a Windows terminal server with QBDT installed. Offshore staff log in via RDP through a VPN. Requires IT infrastructure but works well.
  3. Local QBDT with remote desktop access. QBDT running on a desktop or server at your office, with remote desktop access enabled. Works but fragile – if the office computer is off, offshore staff can't work.

For offshore engagements, the hosted providers are the standard recommendation. Right Networks and Swizznet both have well-built infrastructure for multi-user access, named offshore users, and the audit logs to satisfy firm-level compliance.

Pricing specific to QBDT: offshore QBDT bookkeeping runs $14–$20/hour or $1,900–$2,800/month dedicated. Slightly higher than QBO because remote desktop complexity and the narrower QBDT specialist pool add cost. For CPA firms with 20+ QBDT clients, dedicated seat economics work best.

For firms ready to move clients from QBDT to QBO, migration is a defined project. Simple migrations (small service businesses with under 100 transactions per month) take 2–3 days. Which edition of QBDT do you support?

All of them: Pro, Premier, Enterprise, and industry-specific editions (Contractor, Manufacturing & Wholesale, Nonprofit, Retail, Professional Services, Accountant).

Do your offshore staff need their own QBDT license?

For hosted QBDT (Right Networks, Swizznet, etc.), offshore staff log in under named users on your firm's or client's license. For self-hosted QBDT, same principle through RDP. No separate license needed.

What about the file locking issue with multiple users?

QBDT handles multi-user mode natively up to the user license limit. If you hit the limit, you may need to add user licenses. For hosted environments, the hosting provider sometimes manages this.

Can you migrate from QBDT to QBO?

Yes. Migration is a common project – simple migrations take 2–3 days; complex inventory migrations take 2–4 weeks.

Do you handle QBDT Payroll specifically?

Yes. QBDT Enhanced Payroll (you handle filings) and Assisted Payroll (Intuit handles filings). Many firms move payroll to Gusto/ADP at some point for better features.

What about QBDT Enterprise advanced inventory?
